The following guidelines will help ensure your breakout session stands out and reflects the expertise on HR-related topics that focus on bringing more humanity to today’s modern workplace. These guidelines are based on feedback from past conference attendees. Session length: 50 minutes Audience size: 400-600 attendees per breakout session Presentation content Please keep the following in mind when developing your presentation content: Discuss the same material described in the abstract and title of your session Briefly introduce yourself at the beginning of the presentation. Your full speaker biography is included on the Workhuman website and mobile app. Design a session that speaks to diverse backgrounds, experience levels, and skill sets by including a variety of different examples and theories to appeal to different people. Identify what problem you are helping them solve. Attendees want to absorb knowledge that they can immediately apply to a current problem. Attendees gain the most value from real-world examples. Incorporate case studies, data-driven results, best practices, informed storytelling, or lessons learned to explain key messaging. Make your session more meaningful and engaging by facilitating an activity that will help attendees learn and retain practical knowledge by doing rather than simply memorizing information. Reference recognition, appreciation, and human workplace research where appropriate to align with Workhuman values. The audience should not feel like your session is a sales pitch for a book or company testimonial. Use the time to teach the audience something new and inspiring. Please note that live product demonstrations are prohibited. Presentation format Please keep the following in mind when developing your presentation content: Presentation screens are 16:9 ratio. Use less than 20 slides for a 50-minute presentation; use a large font size (24+); and keep slides easy to ready with minimal text. We request all presenters to incorporate dynamic visual presentations. Do not include more than one table or graph per slide. The audience should be able to take in the visual of one slide within 20 seconds or less. Room monitors will hold you to the allotted time. Allow the audience the opportunity to ask questions. Rehearse beforehand and decide what to omit if you start to go over. The expectation is that session slides (PDFs) will be available to attendees during the conference via the mobile app. If your presentation is selected to be recorded (either audio or video), the recording will be available to registered attendees post-conference via password-protected website. If your session is being recorded and someone in the audience should ask a question out loud without using the microphone, kindly repeat their question into the microphone so that it is captured by the audio recording. Required video size is HD ready (1280×70). You must have copyrights to use videos and music. Do not link to videos on internet webpages. Speakers are responsible for printing handouts if physical copies are part of the presentation. There is a Business Center located in the convention center (please check available hours ahead of time). The conference is not responsible for reimbursement of these expenses. Speaker evaluations will be used to determine any future speaking opportunities. A Workhuman Live 2025 PowerPoint template will be available to you (link to be provided). Use of this template is optional, and you are free to use your company/organization template if you wish. Breakout room equipment Theater-style seating unless otherwise specified by the Workhuman speaker team Lavalier or hand-held microphone Projector and screen Digital countdown timer Small stage lighting One confidence monitor One monitor per room in presentation mode (current slide, next slide, and notes section) as shown below The notes section on the confidence monitor allows for ~500 characters. No more than three bullet points are recommended; a paragraph will be difficult to view from the stage. Submitting presentations Please note the following important information regarding submitting your session content materials. The Workhuman team will work directly with you to provide direction and audience insight as you develop your presentation. Speakers must submit their final presentation in PowerPoint (no PDFs) by Monday, April 28, 2025. Videos must be embedded into the slides. To play correctly, video files must also be submitted separately. If you are using a different format (Keynote, Canva, etc.), then you will need to bring and use your own computer. Speakers must submit any font files included in presentations that are outside of the standard PowerPoint font collection. CVENT speaker portal The speaker portal will be the main hub for speakers to access important information about their sessions. This is where all session documents and deadlines will live. You will receive an automated email to set up your portal from the Workhuman speaker team. Preparation on-site Please read below for information on on-site rehearsals, on-site speaker resources, what to bring to your session, when to arrive, and suggested attire. The Speakers Bureau team will reach out directly to schedule a 20-minute tech check on-site. The purpose is to familiarize yourself with your session room while an AV technician is present. All presentations will be played through a show laptop. Speakers must bring their laptop with the presentation loaded or a copy of the presentation on a thumb drive as a backup. A speaker ready room is located at the Gaylord Rockies Resort & Convention Center to accommodate any last-minute presentation changes. A member of the Workhuman team will be stationed in the room for assistance. This is the only way to make changes that will be displayed on the show laptop (do not make changes during your tech check, only in the speaker ready room). Arrive at least 20 minutes before the start of your session. A room monitor (conference volunteer) will greet you upon arrival. An AV technician will get you set up with the mic, give you a slide advancer and will remain in the room for the duration of your presentation. Suggested attire is business casual for all conference and networking events. A button-down shirt, jacket, or firm-collared shirt/blouse allows for optimal lapel mic placement. Pants or skirts are recommended. If wearing a dress, please ensure there is a thick, strong belt for the mic pack to clip to. If you wear a blouse/top/dress with high neckline, please wear a long necklace for the mic. For a low neckline, wear a short necklace as this allows space to clip the mic. Speaker deadlines Here you’ll find a list of all speaker deadlines to remember: Friday, January 17, 2025 – Speaker Questionnaire completion. Friday, March 14, 2025 – First draft presentations deadline. To be submitted via your speaker portal. The Speakers Bureau team will provide login information to your speaker portal. Friday, April 18, 2025 – Materials go to print. If you have updates to your title, company or session title, please inform us prior to this date. Monday, April 28, 2025 – Final presentations deadline. To be submitted via your speaker portal. Monday, May 12, 2025 – Workhuman Live Gaylord Rockies! Registration and hotel reservations The Workhuman team will provide speakers with a complimentary conference registration for themselves and one guest. Speakers will receive a confirmation of registration by email. All speakers must visit the registration desk at the start of the conference to pick up their badge, which is required to attend the conference. The Workhuman team will cover limited hotel stay (room and tax only) for speakers. Please connect with your Workhuman Speakers Bureau contact with any questions.
